Non Profit Bookkeeping for Anyone is a Google Sheets–based bookkeeping application created using Google Apps Script.

This Privacy Policy explains how the application handles information when you use your own copy of the workbook.

How the application works

When you obtain Non Profit Bookkeeping for Anyone, you create or receive a copy of the Google Sheets workbook within your own Google account.

The Apps Script associated with that workbook operates using Google services authorized by the user.

Your bookkeeping records are stored primarily within your copy of the Google Sheets workbook.

When certain document-storage features are used, the application may create folders or files within your Google Drive. For example, the current application can store reconciliation statement documents in a bookkeeping documents folder associated with the workbook.

It should also be noted that the app does not access or attempt to access Gmail messages in any way.

Information the application may process

Depending on how your organization uses the workbook, information entered into the application may include financial transactions, account information, vendor names, donor names, contractor or employee information, grant information, program information, reconciliation records, document links, and other bookkeeping-related records.

The application may also use basic Google account information made available through Google Apps Script, such as the active user identity where necessary for audit or recordkeeping functions.

Where your data is stored

Non Profit Bookkeeping for Anyone does not operate a centralized bookkeeping database controlled by the application developer.

Your primary bookkeeping data remains within your own Google Sheets workbook and related Google Drive files.

The application does not require users to upload their bookkeeping database to a separate server operated by us.

The current application code also does not contain an outbound web-service integration that sends bookkeeping data to an external application server operated by the developer.

Google permissions

The application requires permission to use certain Google services in order to perform its functions.

These permissions may include access to the Google Sheet in which the application runs and access to Google Drive for features that create or store bookkeeping-related documents.

The application is designed to request only the permissions reasonably required for its functions.

Google authorization screens may describe these permissions using terminology established by Google.

Google User Data

Non-Profit Bookkeeping uses Google Workspace APIs only to provide the bookkeeping, reporting, document, and data-management functions that the user chooses to use within the application.

Google Data We Access

Depending on the features used and the permissions granted by the user, Non-Profit Bookkeeping may access Google Workspace data necessary to operate the application, including Google Drive files, Google Sheets data, and other Google Workspace resources specifically used or created for the user’s nonprofit bookkeeping system.

The application requests only the Google OAuth permissions reasonably necessary to provide its user-facing features.

Non-Profit Bookkeeping does not request or use a user’s Google Account password.

How We Use Google User Data

Google user data accessed by Non-Profit Bookkeeping is used only to provide or improve user-facing features requested by the user. These uses may include:

• reading bookkeeping and nonprofit financial information from application-authorized Google files;

• creating, updating, and organizing bookkeeping records and reports;

• storing structured nonprofit financial information in Google Workspace files associated with the user’s bookkeeping project;

• creating financial reports, tax-preparation worksheets, account summaries, and related nonprofit bookkeeping records;

• retrieving information needed to perform application functions expressly initiated by the user; and

• maintaining references to application-created or user-authorized Google files so the application can reopen and update those resources.

Google user data is not used for advertising, advertising profiles, credit decisions, or unrelated purposes.

Sharing and Disclosure of Google User Data

Non-Profit Bookkeeping does not sell Google user data.

Non-Profit Bookkeeping does not transfer Google user data to advertising networks, data brokers, information resellers, or other third parties for advertising or marketing purposes.

Google user data is not shared with third parties except when necessary to:

• provide a user-requested feature and with the user’s authorization;

• protect the application, users, or others from fraud, abuse, security threats, or malicious activity;

• comply with applicable law, regulation, legal process, or governmental request; or

• facilitate a merger, acquisition, or sale of assets where legally permitted and subject to any required user consent.

Application administrators, developers, contractors, or support personnel do not access a user’s Google Workspace data except when the user has specifically authorized access for support, when access is necessary to investigate a security or abuse issue, or when required by law.

Storage and Retention

Where the application stores bookkeeping information in Google Drive, Google Sheets, or other Google Workspace resources, those resources remain associated with the user’s Google account and are subject to Google’s access controls and security protections.

The application stores identifiers and configuration information needed to associate the user’s bookkeeping project with its authorized Google Workspace resources.

Google user data is retained only for as long as reasonably necessary to provide the requested application functionality, meet legal or accounting obligations applicable to the user, or maintain records the user has chosen to keep.

Users may delete application-created files through Google Drive and may revoke the application’s Google Account access through their Google Account permissions.

Data Protection and Security

Non-Profit Bookkeeping uses reasonable administrative and technical safeguards designed to protect user data.

These safeguards include:

• using Google’s OAuth 2.0 authorization system rather than collecting Google Account passwords;

• requesting the minimum Google API permissions necessary for application functionality;

• using authenticated Google API connections;

• transmitting data between the application and Google services through encrypted HTTPS/TLS connections;

• using Google Workspace access controls for files stored in Google Drive and Google Sheets;

• restricting application access to authorized files and resources where supported by the applicable Google API scopes;

• limiting access to user data to application functions that require that data; and

• avoiding unnecessary duplication or transfer of Google user data outside the application’s intended bookkeeping workflow.

Users should maintain appropriate security for their own Google accounts, including strong authentication and appropriate sharing permissions for bookkeeping files.

Artificial Intelligence and Machine Learning

Non-Profit Bookkeeping does not use Google Workspace user data to train, develop, or improve generalized artificial intelligence or machine-learning models.

Google Workspace user data is not sold or transferred to third parties for AI or machine-learning model training.

If the application later introduces an optional AI-powered feature involving Google Workspace data, any additional use of that data will be disclosed to users and handled in accordance with applicable Google API Services User Data policies before such functionality is enabled.

Google API Services User Data Policy

Non-Profit Bookkeeping’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Access to Google user data is limited to providing or improving prominent user-facing features of Non-Profit Bookkeeping that the user has requested and authorized.

User Control and Revoking Access

Users control whether Non-Profit Bookkeeping may access their Google Account data.

Users may revoke the application’s Google Account permissions at any time through their Google Account security settings.

Revoking OAuth access prevents the application from making future authorized requests to Google APIs but does not automatically delete bookkeeping files or records that the user has chosen to retain in Google Drive or other Google Workspace services.

Users may separately delete those files using the applicable Google Workspace service.

We do not sell your data

We do not sell, rent, or trade users’ bookkeeping information or personal information.

We do not use users’ bookkeeping information for advertising.

Sharing and access

Your workbook and related files are subject to the sharing settings of your Google account.

If you share your workbook or Drive folders with another person, that person may be able to access information according to the permissions you grant.

Users are responsible for managing access to their Google Sheets and Google Drive files.

Copies of the master workbook

The publicly shared master workbook is intended to be copied.

Users should work within their own copy rather than entering organizational financial information into the master template.

Each copied workbook becomes a separate Google file controlled by the account that creates the copy.

Data retention and deletion

Because your bookkeeping records are stored within your own Google account, you control how long those records are retained.

You may delete records, files, folders, or the workbook itself according to Google’s normal Google Sheets and Google Drive controls.

Deleting your copy does not modify the original master workbook.

Security

The application relies on Google’s infrastructure for account authentication, Google Sheets storage, and Google Drive storage.

Users remain responsible for protecting their Google account, selecting appropriate sharing permissions, and maintaining appropriate access controls within their organization.

Third-party services

The application operates using Google Workspace services, including Google Sheets, Google Apps Script, and Google Drive.

Use of those services is also subject to Google’s own privacy policies and terms.
